Silicon Valley International School (INTL) is seeking an experienced Administrative Associate to join its Advancement team and support the Chief of Advancement. INTL is a bilingual PreK-12 private school focused on language education. The Advancement team handles fundraising, development, alumni relations, and community building. This full-time, exempt position offers a competitive salary and benefits.

Core duties include Administrative Tasks, supporting the Chief of Advancement, Stewardship, Event Support, Volunteer Coordination, and Department Communication. The ideal candidate should be able to quickly adapt to meet operational needs, be resilient, welcome constructive feedback, and be open to continuing to learn and grow in their role and our unique environment.

The salary scale for this position ranges from $70,000.00 to $90,000.00

​​​​​​Job Duties (Include, but are not limited to): 
Support Chief Advancement Officer

  • Support Chief Advancement Officer with email/letter drafting, scheduling, and calendar management.
  • Assist in scheduling and organizing Major Gift and Development committee meetings, including agendas, reservations, and meeting minutes.
  • Support Capital Campaign by creating ask folders, capturing student photos, and assisting with donor meetings and events.
  • Organize materials for newsletters and annual reports (photos, graphs, etc.).
  • Manage internet and database tasks like researching donors, scheduling Major Donor meetings, and managing Advancement pages and emails.

Stewardship:

  • Coordinate school stewardship efforts (e.g., sending gifts, e-cards, flowers).
  • Organize Advancement Cocktail Gifts for volunteers.
  • Assist with fundraising knowledge and act as a school ambassador.

Event Support:

  • Provide event support for various school events (SDV, Gala, Alumni Reunions, etc.).
  • Manage Red Carpet event tasks and wine inventory for SDV events.

Volunteer Support:

  • Collaborate with HR on volunteer clearance and create an inviting office atmosphere.
  • Assist PTA with tasks like maintenance tickets, event calendar updates, and volunteer luncheons.

Communications:

  • Manage school-wide calendars, announcements, and eNewsletters.
  • Assist with photography and copywriting.

Administrative Tasks:

  • Order and maintain office supplies, handle mailings, and arrange travel or meetings.
  • Perform other clerical duties, such as filing and errands.

Position Qualifications/Skills:

  • Associate or bachelor’s degree in a related field.
  • 4+ years in Development/Advancement or Administrative roles, ideally in academic/non-profit settings.
  • Excellent organizational, communication, and multi-tasking skills.
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Proficient in MS Office, Google Suite, and Mac OS; familiarity with Keynote, iMovie, Photoshop, and InDesign preferred.
  • Ability to travel locally, carry up to 35 lbs, and work evenings/weekends as needed.
  • Cultural competency and sensitivity to diverse populations.
